Position Description

The Mental Health at Work Index™ Program Coordinator (Program Coordinator) will support all activities related to the Mental Health at Work Index™ (Index) program. This role is pivotal to the success of the Index, ensuring coordination among the partners (One Mind at Work, Columbia University and Ethisphere) and Index clients. Reporting to the Executive Director of One Mind at Work (Executive Director), the Program Coordinator will be responsible for ensuring a smooth and timely end-to-end journey for the Index clients, and in this capacity will be a primary point of contact for recurring interactions with the Index. The Program Coordinator will also participate in the development and implementation of systems and processes to drive efficiency, transparency, and value. This role will be responsible for developing and maintaining a variety of reports, including executive, engagement, and project management reporting. The Program Coordinator will support and balance these critical activities during a period of rapid organizational growth and transformation.

Key Responsibilities

  • Develops and maintains Standard Operating Procedures (SOPs) for the Index program
  • Serves as critical point of contact with Index clients: distributes completed reports to clients and answers support related questions
  • Responsible for scheduling all meetings with clients, including but not limited to the Expert Review Calls (ERCs), Independent Evaluations, and Workshops
  • Serves as the primary reporter on client calls
  • Maintains the Index team calendar and is responsible for scheduling a majority of Index team meetings
  • Solicits input from leadership team and prepares agendas for Index team and Founding Corporate Council (FCC) meetings, takes minutes, and coordinates follow-up 
  • Produces monthly and annual reports for the Founding Corporate Council
  • Develops and maintains project management tracking for the Index team and the FCC
  • Maintains Index Brand and FCC logos
  • Responsible for the Index “Info” email box
  • Supports the coordination of the development and refinement of collateral (presentations, case studies, email notifications) with input and engagement from the Comms++ Committee and the Resource team

Qualifications

  • Bachelor’s degree preferred
  • Minimum two years of project coordination or management experience
  • Familiarity with mental health + mental health research ecosystem preferred
  • Skills + characteristics required:
    • Outstanding relationship building and internal + external collaboration skills
    • Self-motivated and willingness to drive initiatives forward independently
    • Detail-oriented, organized and results-driven; exceptional at creating process and structure
    • Strong communication skills, both written and verbal
    • Passion for creating positive impact in workplace mental health
    • Flexible with a willingness to work at an organization during a critical stage of growth & scale
  • Permanent remote position with occasional travel, including to participate in quarterly strategy meetings in New York or California

Compensation Package

Base Salary: $65,000-$75,000 annually

Annual Bonus: Target to be set based on mutually agreed upon goals
